Lead capture & follow-up

Turn new enquiries into organised opportunities: capture, qualification, CRM records and drafted follow-ups, with your approval where you want it.

The problem

Enquiries wait

New leads from forms, chat and email wait until someone has time to sort them.

Follow-up depends on memory

Who answers, when and how depends on who happens to see the enquiry first.

What is included

Capture from approved channels

Forms, chat and email collected into one flow.

Qualification

Each lead classified by service, urgency and fit, using rules you agree.

CRM records and assignment

A record created or updated in your CRM and assigned to the right person.

Drafted follow-ups

A first reply drafted in your tone, sent only after approval where you want it.

An example, step by step

Example · synthetic data A website enquiry becomes a qualified CRM record

Input

A form submission

Name, company, email and the message: we need an office cleaning quote for two floors in Leiden.

  1. Check the email and look for an existing contact to avoid a duplicate.
  2. Qualify against your rules: service area, type of request, size.
  3. Create the CRM record, assign it and draft a reply for a person to approve.

Output

Record and draft

A new lead in the CRM, tagged office cleaning and in area, assigned to sales, with a drafted reply waiting for approval; an invalid email goes to a review list instead.

How it works

An enquiry arrives

A form, chat message or email starts the workflow.

It is read and sorted

AI reads the message; rules decide where it goes.

A person stays in control

Records are created and a reply is drafted for review.

What you receive

A working lead workflow

From enquiry to CRM record and drafted reply.

Duplicate and error handling

Known duplicates merged; failures logged and flagged.

Handover notes

How it works, how to change it and what to watch.

What it works with

Your enquiry channels

Website forms and other channels you approve.

Your CRM

Where leads are created and assigned; named once we have confirmed its connection with you.

Your qualification rules

Who you serve and how leads are routed, written down with you.

How we check it works

Routing correctness

A test set of sample enquiries checks that each lands with the right person.

Duplicates and errors

Known duplicates and broken inputs are caught, not created.

Time to record

How long an enquiry takes to appear in the CRM, measured in testing.

What to keep in mind

  • Qualification follows the rules you agree; unusual enquiries go to a person.
  • The workflow can only use channels and a CRM that allow a connection.

What shapes the scope and quote

  • The number of channels and the CRM you use.
  • How detailed the qualification rules are.
  • Whether replies are drafted, and in how many languages.

Frequently asked questions

Will customers get automatic replies?

Only if you want them. By default a reply is drafted for a person to approve before it is sent.

Which CRMs do you work with?

CRMs that offer an API, such as most common sales CRMs. We check yours in the discover step.

What happens if the CRM is unavailable?

The enquiry is kept and retried, and someone is alerted. It is not lost and not created twice.

Can we change the qualification rules later?

Yes. The rules are written down and adjustable; the handover notes show how.
